Booking Terms & Conditions
The following are the Terms and Conditions of Hire between the Hirer (also referred to as 'you, your') and Oasis Holiday Rentals Ltd (also referred to as 'the Company, we, us, our'). These terms and conditions as well as terms and conditions of the insurance policy become legally binding from the day of booking. By making a booking and paying your booking deposit you are entering into contract with Oasis Holiday Rentals Ltd and agree to abide by the terms and conditions as set out in this document. Please read this document carefully, if there is anything you do not understand please contact us here at Oasis Holiday Rentals Ltd.
1. BOOKING AND PAYMENT
You can make a booking by e-mail, phone or on our website www.oasisholidayrentals.co.uk by choosing your preferred dates in our booking calendar.
We offer a minimum hire period of 3 nights. We can accommodate a shorter hire period of 2 nights but you will still have to pay for 3 days. 5% discount is available for periods of hire over 7 days.
A booking deposit of £250 is required to secure the booking. This is non-refundable and shall be deducted from the total hire cost. Once the booking is confirmed, a confirmation email will be sent out to the Hirer with an invoice showing the balance of hire cost. The remaining balance of your hire cost is payable four weeks prior to the start date of your hire, or at the time of booking if you book less than four weeks prior to your hire.
Any documents requested by the Company must be provided within 7 days. Failure to provide full payment and/or documents as set above will result in the booking being cancelled and the loss of your £250 booking deposit.
Hire cost can be paid by bank transfer of by credit/debit card. Security deposit must be paid using a debit or credit card. All payments can be made by telephone.
The Company reserves the right to refuse to hire the vehicle to any person(s).
Only drivers named on the hire agreement are permitted to drive the vehicle, no other drivers will be covered by the insurance.
All drivers must be between 25 and 75 years of age and have held a full UK or EU driving licence for at least two years prior to the commencement of the hire.
For “Kev” (Swift Hi-Style 630L – 6 berth) Category C1 licence is required.
“Bella” (Elddis Majestic 165 – 4 berth) can be driven by a standard Category B licence holder.
Additional drivers can be added at an additional charge of £10 per driver per day.
The Hirer and all drivers are required to provide a photographic ID and 2 proof of address: 1x primary and 1x secondary or 2x primary proof of address:
Primary proof of address: electricity; water; gas; broadband/landline; council tax; TV licence; bank statement; credit card bill/statement; mortgage statement; polling card; HMRC self-assessment/tax credit.
Secondary proof of address: student loan; payslip; shotgun licence; mobile phone bill; pension letter; car finance statement; loan statement; property deed.
Proof of address must be from two separate sources, dated within 90 days of the hire date, and show a matching name and address to that on the driving licence.
For UK driving licence holders a DVLA licence check will be carried out by the Company.
For Non-UK licence holders, in addition to the above listed documents, we require an additional photographic ID.
Due to our insurance policy, we are not permitted to hire the motorhome out to or be driven by:
- Persons who have been convicted of an offence in connection with the driving of a motor vehicle or motorcycle and/or have had their driving licence endorsed or suspended or more than 6 penalty points imposed. 'Spent' convictions, covered by the Rehabilitation of Offenders Act 1974 may be disregarded.
- Persons who have had their insurance declined and/or renewal refused and/or special insurance terms imposed as a result of claims experience and/or have had their insurance or cover cancelled by any Motor insurer.
- Persons engaged wholly or partly in professional entertainment or professional sports persons.
- Jockeys and persons connected with racing, gaming industry or press of any sort.
- Persons who, whilst driving, have been involved in more than one fault or outstanding accident during the past 3 years.
In case of any doubt as to whether the Hirer/Driver meets the insurance criteria, the Company may request a referral from the insurance provider.
3. SECURITY DEPOSIT
A security deposit of £1,000 is payable by the primary driver named on the hire agreement by cleared and traceable funds using your credit/debit card no later than 5 days prior to collection of the motorhome. The deposit is taken to cover the motorhome insurance excess, damages, losses or other charges that may occur during the hire period.
For any damages or losses that are not covered by the insurance the Hirer/Driver will be liable for the costs of all repairs or replacements. Should any costs exceed the Security deposit, the Company will raise an invoice to the Hirer for all additional costs over and above the Security Deposit. Invoice shall be paid within 30 days from date of invoice.
The deposit will be refunded in full within 7 days of the last day of the hire period provided that the motorhome has been returned on time and in a clean, complete and undamaged condition. The Company reserves the right to retain up to the full amount of the deposit if the motorhome is returned late or not in the same condition as received on collection.
A fully comprehensive insurance is included for the hire period and covers you in case of an accident, fire and theft. Copy of the insurance policy can be found on our website. Please read it carefully before making your booking.
The insurance excess is £500 in respect of each and every individual cause resulting in damage to the vehicle.
Below is a list of items not covered by the insurance. In the event of loss or damage to any of the following, the Hirer accepts full liability for costs of repairs/replacement:
- mechanical, electrical, electronic or computer failures or breakdowns or breakages,
- damage to tyres due to punctures, cuts, bursts or application of breaks,
- interior fitments,
- spills or damage to upholstery,
- theft or damage to vehicle whilst keys are left in or on the vehicle,
- personal belongings, injury, delays and cancellations. We strongly recommend that you take out personal travel insurance cover prior to your hire.
- any claim when the vehicle is used for reasons not permitted under this agreement,
- any claim when the vehicle is driven by any persons other than drivers named in this agreement,
- any claim when the vehicle is loaded above its Maximum Technically Permissable Laden Mass, which is 4250 kg for “Kev”(6 berth) and 3500 kg for “Bella”(4 berth),
- any claim when person driving the vehicle is disqualified from driving or has not held relevant driving licence as per this agreement,
- any other exclusions listed in the insurance policy.
For any damages not covered by the insurance as well as all damages incurred in a fault accident the Hirer will be liable for loss of revenue at the prevailing daily hire rate for the period where motorhome is off hire for repairs as a result of damage.
Please note that resolution of damage issues is time consuming and the Company reserves the right to apply a reasonable administration fee in addition to excess/repair cost.
RAC Breakdown insurance is included in your hire and covers 24 hr national roadside, recovery and onward travel.
5. HIRE PERIOD
You will have the motorhome for the rental period set in the agreement.
6. VEHICLE COLLECTION
Unless otherwise agreed in writing with us, the motorhome will be available for collection on the day of hire between 3:00 and 5:00 pm at our premises. Please allow up to 1 hour for the handover.
The Hirer and all drivers must be present at the vehicle collection in order to familiarise themselves with how to operate the motorhome and sign the agreement.
An inspection will be carried out upon collection of the motorhome with the Hirer and all drivers present. The Hirer is advised to check for themselves that any damage on the vehicle has been recorded on the Motorhome Inspection Checklist. If any dispute shall arise as to whether or not damage occurred prior to or during the hire period, the note or absence of note of any damage on the Motorhome Inspection Checklist shall be taken as conclusive evidence of condition of the vehicle as at the commencement of the rental.
During the inspection, we will also explain how everything works.
Customers are welcome to park one car free of charge at our premises during the hire period. Vehicles are left entirely at the owner's risk, the Company accepts no responsibility for any damage that might occur to your vehicle during that time.
7. EARLY COLLECTION
Early collection time slots may be possible subject to availability and are subject to a one-off service charge. Please contact the Company prior to collection.
8. VEHICLE RETURNS
Unless otherwise agreed in writing with us, the vehicle must be returned to the Company premises between 9:00 and 11:00am on the last day of hire. The motorhome is insured for the period of hire set out in the agreement. Any late return may result in the insurance being invalid.
You can return the vehicle earlier than the return time slot set in the agreement, however we ask that you inform us in advance. No refund is issued for an early return of the vehicle.
Late returns can have a significant impact on the next hire. If you fail to return the motorhome by 11:00am you will be liable for a late return charge of £75 per hour or part thereof. If you feel you may need extra time for your journey back to our location, especially when travelling on longer journeys then we advise booking an extra day hire at the time of booking to avoid late return charges.
Upon return we will check the vehicle for damages and cleanliness. The Hirer will be liable for any damages or losses to the vehicle not included in the Motorhome Inspection Checklist carried out upon collection. Please allow for up to 1 hour for the handover.
Upon return please check that you have not left any personal belongings in the motorhome.
We allow unlimited mileage.
It is the Hirer's responsibility to return the motorhome in the same condition as received on handover. The motorhome must be fully cleaned internally including the upholstery, kitchen appliances and equipment, all surfaces, cupboards, tables, floor, walls, doors, cab area, shower and toilet areas and all external lockers as well as all personal belongings removed.
The motorhome must also be free from unpleasant odours i.e. food smells released whilst cooking i.e. bacon, fish or anything else.
We ask that you place used bed sheets and mattress protectors in the bedding bags provided and leave them in the motorhome, these will be washed by the Company.
If the motorhome is returned in unsatisfactory clean condition, a valeting charge of up to £500 will be applied.
There is no requirement to clean the outside of the vehicle.
Upon return toilet cassette must be empty and flushed through with clean water, cassette housing must be clean and grey water tank must be empty. There is a £75 charge for un-emptied/un-cleaned cassettes and a £35 charge for un-emptied grey water tank. Please note there are no toilet emptying facilities at our premises so this must be emptied prior to return.
11. DRIVING ABROAD
We do not allow the motorhome to be driven outside of England, Scotland and Wales.
We do not allow the motorhome to be taken to festivals.
We operate a strictly 'No smoking' policy in the motorhome, any infringement will incur a full cleaning charge of £500.
We have a strictly 'No pets' policy in any of our vehicles. Any traces of pets found in the motorhome upon return will incur a full cleaning charge of £500.
15. OFF GRID CAMPING
Off grid camping is allowed as long as you park in a safe and legal place. Monitor your leisure battery level.
16. VEHICLE TRACKING
An electronic tracking device is fitted to the motorhome which gives regular updates to the Company on the location of the motorhome. In an event of breakdown or accident this will allow the Company to arrange recovery of the vehicle.
17. OPTIONAL CUSTOMER PICKUP SERVICE
If you are arriving by train or bus, or if you wish to be picked up from your home address, we can arrange pickup and return subject to availability. Please ask for details and costs.
18. FUEL, OIL & COOLANT
You must use the correct fuel - diesel. You are responsible for any damage to the vehicle caused by use of incorrect fuel.
The vehicle is supplied with a full tank of fuel on collection and should be returned with a full tank. A refuelling charge will be applied if fuel tank is not full upon return. The charge is £25 plus the cost of fuel at pump price.
Our nearest fuel station (3 miles) is located on the A15/A631 roundabout: BP Caenby Corner Roundabout, Market Rasen, LN8 2AS.
Engine oil and coolant level will be correct at the time of collection. The Hirer is responsible for maintaining the correct level of engine oil and coolant during the hire period.
Failure to do so may result in engine damage for which the Hirer will be responsible.
The motorhome is fitted with refillable gas bottles which can be replaced at any fuel station supplying LPG. We will provide one full and one part full gas bottle at the time of hire. You are not required to refill the gas on return, however if you require additional gas, the cost of refills during the hire period shall be your responsibility. A like for like replacement cylinder or a Calor gas cylinder should be returned with the vehicle. You will be refunded the cost of the bottle deposit if you provide a receipt. If a cylinder is missing, a charge of £50 will be applied.
The Hirer is responsible to maintain the correct tyre pressure during the hire period. Any damage to tyres due to punctures, cuts, bursts or application of breaks is not covered by the insurance, the Hirer accepts full liability for costs of repairs/replacement.
If you have a puncture during your hire, contact the Company, we will arrange RAC Breakdown Service to attend and replace it with a spare tyre. You are required to arrange for the puncture to be repaired, or tyre replaced, as soon as possible after the incident. Tyres to a comparable (as other tyres on vehicle) specification and price must be selected. If lower specification tyres are selected without the Company approval, we reserve the right to replace it to the correct standard at the Hirer's cost.
21. FINES AND PENALTIES
The Hirer shall be responsible for any parking fees, fines and penalty charge notices, traffic or other offences, tolls, congestion charges, ultra low emission zone charges, impound fees etc during the period of hire. The Hirer agrees to pay the Company upon receipt of any of the above. There will be a charge of £40 for administration costs per incident.
22. HIRERS' RESPONSIBILITIES
The maximum number of people that can be carried in “Kev” (Swift Hi-Style 630L) is 6 including the driver, for “Bella” (Elddis Majestic 165) it is 4 people. Each person must use seatbelts at all times whilst vehicle is in motion.
You must use the motorhome with care and not do or allow anything to be done to harm the vehicle. The Hirer/Driver is responsible for any loss or damage to the motorhome incurred during the hire period including that caused by the Hirer's or any other person's neglect, misuse, accident or act of God, subject to the cover provided by the hire insurance.
Should you experience any difficulties with the operation of the motorhome during the hire period, please contact the Company by telephone on 01673 263 900 to enable us to offer assistance. There is also a dedicated mobile number for use in emergencies. The number will be provided upon collection of the motorhome. However please be aware that this number is for emergencies only.
You must drive the vehicle in a careful and cautious manner, you must not operate the vehicle in breach of the Transport Act, the Traffic Regulations Act or any other act, regulations or laws relating to road traffic.
The motorhome may only be driven on appropriate road surfaces.
All drivers must be aware of the unusual dimensions of the motorhome. “Kev” (Swift Hi-Style 630L- 6 berth): The maximum height of the vehicle is 3.05m (10'1'') , which is clearly stated in the cab. You must check height restrictions when driving under obstructions such as low bridges, height restrictions into car parks etc. Length is 7.49m (24'6''), Width is 2.4m (7'9''). “Bella” (Elddis Majestic 165 – 4 berth): The maximum height of the vehicle is 2.82m (9’4”) , which is clearly stated in the cab. You must check height restrictions when driving under obstructions such as low bridges, height restrictions into car parks etc. Length is 7.02m (23'1''), Width is 2.69m (8'10'').
You must not submerge the motorhome in water or allow contact with salt water.
When parking the vehicle, use hand break and leave in gear. Levelling chocks are provided in the vehicle, hand break must be used when using levelling chocks, however DO NOT leave in gear when on levelling chocks.
When you leave the vehicle unattended, ensure all windows and rooflights are closed and doors are locked.
You must keep the keys to the vehicle safe. Never leave the keys in or on the vehicle unattended. The insurance does not cover you for loss of or damage to the motorhome whilst the ignition key has been left in or on the vehicle.
Upon return you must report to the Company any damages, losses and breakages.
You must not sell, rent or dispose of the motorhome or any of its parts. You must not give anyone any legal rights over the vehicle, nor use the vehicle for the carriage of goods or passengers for hire and reward.
You must not make any alterations or additions to the motorhome without prior written consent from the Company.
You must not use the vehicle for any illegal purpose.
You must not use the vehicle for motor sports, racing or teaching someone to drive.
You must not use the vehicle while under the influence of alcohol or drugs.
You must not carry on board any explosives (except of gas cylinder), guns, fireworks, corrosive or flammable products or hazardous liquids.
You must not tow any trailer or other vehicle behind the motorhome.
Full list of items included in the motorhome can be found on our website. You will be issued an inventory upon collection of the vehicle. Any loss or damage to the items listed will incur a replacement charge.
24. WHAT TO DO IF YOU BREAK DOWN
Your hire includes RAC Breakdown cover, details can be found in the vehicle.
In the event of a breakdown, please call RAC Helpline to seek assistance. You also need to inform the Company by telephone. An out of hours emergency mobile number will be provided to you upon collection of the vehicle.
Any repairs must be authorised by the Company prior to the work being undertaken.
The Company is not under any circumstances responsible for any expenses, restrictions or delays or any third party claims for damages in connection with or consequent upon any accident or breakdown.
25. IN THE EVENT OF AN ACCIDENT
In the event of an accident please follow hire insurance guidance:
- Do not make any admission of liability nor give money to any injured person.
- Obtain the name and address of any other driver and registration mark of any other vehicle involved. This can be recorded on an 'Accident Details' form, which can be found in the vehicle. The form must then be returned to the Company.
- Obtain Insurance Certificate details from any driver you hold responsible for causing the accident and give such details to anyone that similarly holds you responsible.
- Obtain the name and address of any witness.
- Record the position in the road of your vehicle and any other vehicle involved.
- Report the accident to the Company by telephone as soon as it is safe to do so. An out of hours emergency mobile number will be provided to you upon collection of the vehicle. We will assess the incident and get in touch with the insurance provider if needed. We may ask you to speak with the insurance company to provide further details of the accident.
If you do not follow the requirements listed above, you may find the insurance invalid and you would become liable for all the costs of repairs to the vehicle.
You must also:
- Make sure all passengers are safe and that the vehicle is secure.
- Contact the Police straight away if anyone is injured or there is a disagreement over who is responsible.
- If and when safe to do so take photographs of the accident scene.
- Assist the Company in handling any claim that should arise.
Your security deposit will be used to cover the excess in the event of any claim on the insurance.
No responsibility can be accepted by the Company for any loss, injury, damage or expense which occurs as a result of any accident.
26. IN THE EVENT OF THEFT OR BURGLARY
If motorhome is stolen or broken into, it must be immediately reported to the Police and to the Company. Police crime reference number must be obtained and provided to the Company.
In the event of the theft of the motorhome, keys must be returned to the Company. If the keys are not returned to the Company, the insurer may not accept the claim and liability for the full cost of the vehicle will remain with the Hirer.
Cancellations must be made in writing to the Company by email or post.
If notification of your cancellation is received more than four weeks before the start date of your hire you will be refunded in full less the booking deposit of £250.
If notification of your cancellation is received less than 4 weeks before the start date of your hire no refund will be issued.
28. TERMINATION OF AGREEMENT BY THE COMPANY
The Company reserves the right to terminate this agreement and keep the £250 booking deposit if:
- Full hire price is not paid 4 weeks prior to the start of your hire.
- The Hirer/Driver fails to provide required documentation within 7 days of booking.
- Documents provided by the Hirer/Driver within 7 days of booking are invalid or not in accordance with the conditions set out in Section 2 (Drivers).
The Company reserves the right to terminate this agreement, take immediate possession of the motorhome, keep all the monies paid by you and claim all costs of repossessing the motorhome if:
- The Hirer hired the vehicle through fraud or misrepresentation.
- The Hirer/Driver use fraudulent documents.
- The Driver licence is invalid during the hire period.
- Upon collection of the vehicle, the Company has reasonable grounds to believe that the Hirer/Driver is not suitable to take charge of the vehicle, due to any concerns we have for the safety of the vehicle, its occupants or other road users.
- The Company has reasonable grounds to believe that the motorhome is misused by the Hirer/Driver.
- The vehicle appears to be abandoned.
- The Hirer/Driver fails to comply with any of the terms and conditions of this agreement or terms of the vehicle insurance.
- The vehicle is not returned on the agreed date and time to the Company premises for any reason other than an event covered by the insurance, or the Company reasonable believes that the vehicle will not be returned as agreed.
We will make every effort to ensure that the motorhome is available for you as per your booking. If due to circumstances beyond our control such as vehicle being returned late or damaged by previous customer or the Company is not permitted to hire out the motorhome as a result of UK Government restrictions, the Company reserves the right to cancel your booking. In that event the Company will provide a full refund of all monies paid to date.
The Company will not be responsibility for any additional costs, expenses or compensation as a result of a cancellation or termination of the agreement. Therefore we recommend that you take out a separate insurance that will cover holiday cancellations.
Any changes to this agreement must be in writing and must be signed on behalf of the Company and by you.
30. PAYMENT OF CHARGES & JOINT AND SEVERAL LIABILITY
All charges payable by the Hirer/Driver to the Company under this agreement are due on demand. If you do not pay all charges when due, you agree to pay interest on any late payments at the rate of 8% per year plus any collection costs incurred by the Company.
The Hirer and all drivers are liable jointly and severally for all obligations pursuant to this agreement.
31. RELEASE OF LIABILITY
The Hirer/Drivers will release the Company, its employees and agents, from any liability to you, regardless of who is at fault, for any loss, damage or injury incurred during the period of hire, including but not limited to:
- Any loss, damage or injury caused by use and/or possession of the vehicle, or by breakdown, mechanical defect, accident, theft or the vehicle being unsuitable for your purpose.
- Any loss or damage to any property left in or around the motorhome, in replacement or any service vehicle or on the Company premises, or recovered or handled by the Company.
32. GOVERNING LAW
This agreement is governed by the laws of England, where this agreement was signed. Any dispute may be settled in the courts of that country.
If you breach the agreement the Company reserves the right to give the information you have provided to credit reference agencies, the Driver and Vehicle Licensing Authority (DVLA), debt collectors and any other relevant organisation.
